Aviation Manuals, SOPs and Document Control

An aviation manual should describe a process people can understand, use and maintain. MMM Consultations, LLC helps organizations develop and improve operating documentation, including SOPs, GOMs, SMS and emergency response material, policies and forms. Our focus is the connection between the document and the operation it supports.

Who this service is for

Manual and documentation support is useful when an organization is building a program, revising an inherited document set or trying to reconcile instructions spread across different files. Operators and ground handlers may also need help after changes in staffing, service scope, equipment or customer requirements.

The initial review defines the documents involved and the purpose of the work. A targeted SOP revision is different from reorganizing a full manual system. We establish which documents are authoritative, who owns them and whether any approval or acceptance process needs to be built into the project schedule.

Typical documentation problems

A manual can contain correct information yet still be difficult to use. Responsibilities may be described differently in separate sections. A form may refer to an old job title. A revised procedure may be issued without updating the related training material. Employees then have to interpret which instruction applies, often at the point of work.

Another common issue is using a template without adapting its assumptions. A procedure may assign tasks to a department the organization does not have or describe a system nobody uses. We help identify these mismatches and rewrite the process around the organization’s actual structure and applicable requirements.

What we can deliver

Depending on the agreed scope, deliverables can include revised or newly developed SOPs, manual sections, policy documents, forms and document-control procedures. We can help build clearer revision histories, responsibility tables and cross-references between related instructions. SMS and ERP documentation can be coordinated with the wider operating document set.

A good deliverable should explain its own place in the system. The owner, revision status and intended audience should be clear. Supporting forms should collect information that someone will use, while process descriptions should identify the decisions and handoffs needed to complete the work.

Review the process before polishing the wording

Documentation work begins with understanding how the task is performed and how management expects it to be controlled. We review the available material, ask questions about unclear steps and identify differences between documents and practice. This helps prevent a polished rewrite from preserving an unresolved process problem.

Drafts are then reviewed with the relevant program owners. The operator remains responsible for required submissions, approvals and implementation decisions. Where an authority or customer must review material, that dependency should be visible in the schedule. No consultant can guarantee acceptance simply by producing a manual.

Keep the documents useful after delivery

A revised document set needs a practical maintenance process. Someone must own future changes, evaluate their effect on related material and make current instructions available to the intended audience. Training and communication should be considered whenever a revision changes what employees are expected to do.
